How to apologise for a mistake at work

A good apology is mostly about what happens next.

The situation

Something went wrong and it was yours. The instinct is either to bury it in context or to apologise so thoroughly that the reader ends up reassuring you.

What the other person needs is short: acknowledgement without hedging, what changes, and by when. Their confidence is restored by the plan, not by the contrition.

Why it is hard

An apology is unusual among face-threatening acts because it threatens the sender’s face rather than the recipient’s. That is why over-apologising is so common and so counterproductive: the extra hedging is self-directed repair, and it shifts the emotional labour onto the person you wronged, who now has to manage your discomfort as well as their own problem.

What to actually write

Two versions of the same message. Same facts, different posture — which one is right depends on the relationship, not on which is “better”.

What to avoid

  • "I am sorry if..." A conditional apology is not one.
  • Explaining before acknowledging. Context reads as defence when it arrives first.
  • Naming who else was involved. It is heard as deflection even when it is true.

Briefly, and after the acknowledgement. The explanation should serve their understanding of the fix, not your defence.

What if it was not entirely my fault?

Apologise for your part, specifically. A precise apology is more credible than a broad one and does not require you to accept what is not yours.
